  • 1. What is the registration process?
    Go to https://cybersteno.com.   Click ‘Sign Up’. Fill up the standard registration form and click to register. An email will be sent to your designated email id. Click on the link highlighted. Register Create your password. You will be able to sign in as the admin after this. For new Team members:  A confirmation email will be sent to your designated email id. It will contain your user-name. Create your password.
  • 2. How is the Admin created?
    By default, the creator of the account becomes the Admin. He can then give Admin rights to anyone else. The sole existing Admin cannot be removed without creating a second Admin. Any team member can be deactivated by the Admin, in the Manage User module.
  • 3. How can extra team members be added? Can they be removed if necessary?
    You can add any number of new team members. If you want to want to add team members, purchase an Add-on through the Subscription system, for that number of users. Remember to activate them, after entering their details in the Manage User module. Also, ensure they have been allocated their correct role. Roles are created through the Manage Role module. While there are three default roles given (Admin / Uploader /Transcriber), you can choose to create any Title you wish. For example, in a school, you could create roles such as Admin / Nurse / Tutor / Coach. And permissions for each Role can be issued here. All newly added team members have to be allocated to a specific team or teams. Initially, everyone is added to a common pool. This is through the Manage Teams module. Using the school example, teachers teaching different ages could be made the members of specific class teams.
  • 4. How do I change my password?
    Go to ‘My Profile’. On the right top corner, you will see the ‘Change Password’ icon. Go through the prescribed process.
  • 5. Can I record using a PC / laptop
    Yes. Sign in via the website. You will be on the Dashboard. Click on the ‘RECORD NEW AUDIO’ button. Start recording. Use headphones for better clarity. Note that you can do this even through the browser on your smartphone
  • 6. What are the benefits of the Smart-Phone app?
    Whether you are a researcher, business executive, or lawyer – information can be recorded and stored for upload immediately. Users can dictate letters or reports from wherever they are – on a bus, at a client meeting or at the airport. The location is no longer important. Receipts can be scanned and along with photos or documents, can be uploaded for the secretaries to file digitally along with the case report immediately. This will improve efficiency in the office, as also accountability.
  • 7. Where do I get the smartphone apps?

  • 8. I lose internet access on the phone in places like my office – but it has wired LAN PCs. What do I do?
    Recording can be done by accessing the Record Audio module on the www.cybersteno.com website. Use a headset for better clarity. If the PC has external speakers, ensure that the speakers are switched off. Otherwise, echoes are heard in the dictated audio file, and this ruins its quality. (Just click on the Volume icon at the Right bottom corner, and click the ‘mixer’ button. Switch the speakers off. An ‘x’ will appear over the speakers)
  • 9. For the stenographer: can the transcription be done without access to the internet?
    No. The transcription process is on the internet (within the ‘cloud’), and hence this will happen only if connected to the internet. The stenographer will be unable to even sign in. No files can be accessed. With portable Wi-Fi devices including the smartphone, this should never be a barrier. Please note that for the team, once signed in to the smartphone app, they will be able to dictate even if offline. The files will be saved as drafts. The users can choose to upload as feasible.
  • 10. How can I improve the transcription process?
    There are two factors that help improve the transcription process. Clarity in pronunciation and the speed of speech. “Slow is better.” Speak clearly and at normal conversation speed. Avoid mumbling and drawling. Practice makes perfect and you may need to get used to speaking in a particular manner (different to normal speech) to make the process more efficient.
  • 11. How can I improve the Dictation process?
    Try to do the Dictation in quiet surroundings. Cross-talk from people, machinery noises, excessive wind, vehicular sounds, etc will interfere with the clarity of the recording. This may impair the transcription process.
  • 12. How expensive is Cybersteno?
    Cybersteno is a free software meant for small team, with a total restriction of 2GB and total user count limitations per team. We are not charging the users for using the digital office facility. However, if larger organizations who has team size more than 5 , we can offer custom plans at a very economical rate . The speech-to-text ………………
  • 13. Can I deactivate my account?
    Yes, you can. People ask to have their accounts deactivated for many reasons. Accounts can be closed on written request. After a 60 day ‘cooling-off period, in the event that the client still wishes to leave, the account will be closed and all data deleted.
